Telehealth Sessions Guidelines

At Dementia Partnered Care, we are committed to ensuring that your online consultation experience is as effective, secure, and comfortable as possible. These guidelines are designed to help you understand what to expect and how to prepare for your online sessions.


Preparing for Your Online Session

  • Device and Connectivity: Ensure you have access to a reliable device (e.g., laptop, tablet, or smartphone) with a stable internet connection.
  • Platform: We use Google Meet for all telehealth sessions. You will receive a secure link via email prior to your session.
  • Environment: Choose a quiet, private, and comfortable space where you won’t be interrupted. Headphones are recommended for added privacy and better audio quality.
  • Time Management: Log in 5 minutes before your scheduled session to address any technical issues that might arise.

 

Confidentiality and Security

  • Privacy Measures: Sessions are conducted in a secure, encrypted format to protect your confidentiality.
  • Recording: Sessions are not recorded, and we ask clients to refrain from recording sessions without prior written consent.
  • Third-Party Platforms: Your data is handled in compliance with our Privacy Policy and is processed through secured platforms, including Google Workspace and Zanda Health.

 

Emergency Preparedness

To ensure your safety during online sessions, we ask clients to provide:

  • Location Information: Your location at the time of the session, in case of an emergency.
  • Emergency Contact: The name and contact details of someone we can reach in the unlikely event of an emergency. Providing this information is optional, but it helps us prioritize your safety.

 

Your Responsibilities

  • Honesty and Openness: To make the most of your sessions, be open and honest about your concerns and goals.
  • Technical Readiness: Test your device, internet connection, and platform link before the session begins.
  • Communication: Notify us as soon as possible if you experience technical issues during the session or are unable to attend.

 

Limitations of Online Therapy

While online therapy is highly effective for many individuals, there are certain limitations:

  • It may not be suitable for emergencies or crises. In such cases, please contact local emergency services or a crisis helpline immediately.
  • Sessions may be impacted by technical disruptions. If this occurs, we will work with you to reschedule or continue the session by phone.

 

Rescheduling

  • There will be no charge for a rescheduling done  at least 24 hours before the scheduled session. 
  • Rescheduling within 24 hours before the scheduled appointment will be treated as a cancellation.

 

Cancellations and Refunds:

  • Cancellations made at least 24 hours before the scheduled session will receive a 98.5% refund (1.5% being the transaction charge taken by Stripe).
  • Cancellations made within 24 hours of the session are eligible for a 50% refund and must be communicated via call, email, or text.
  • Unfortunately, no refunds will be provided for no-shows.

 

Client Rights and Consent

  • You have the right to discontinue therapy at any time.
  • You are not obligated to share sensitive or personal information during sessions and may choose to disclose only what you feel comfortable with.
  • By participating in online therapy, you consent to the terms outlined in our Privacy, Confidentiality, and Data Handling Policies.

 

Eligibility

Our services are available to individuals aged 18 and older. By engaging with us, you confirm that you meet this requirement. 

 

Individuals living with a mental health diagnosis should consult their medical provider before booking any sessions or classes. Sharing such information with Florence Tyloo is encouraged, as it may influence the approach taken during sessions.

 

The use of hypnotherapy, autogenic training, and progressive muscle relaxation is not suitable for everyone. Some diagnostics may contraindicate these techniques. You are kindly asked to refrain from booking any autogenic training or progressive muscle relaxation classes if you recognise yourself in any of the following diagnoses. While a private consultation is not off-the-table, you ask that you seek advice from your specialist first and inform Florence of the situation. Should a consultation occur, Florence will write a note stating that hypnotherapy is not recommended. The exact reason will not be registered.

Here are the conditions:

  • History of severe mental health issues, such as psychotic symptoms, hallucinations, and delusions.
  • Schizophrenia or borderline personality disorder.
  • History of trauma.
  • Pathological personality disorders.
  • Alcohol or drug psychosis.
  • Epilepsy and narcolepsy.

Please note that we are not qualified to diagnose or treat mental or physical illnesses. We always encourage you to consult a licensed medical professional before booking an appointment. Florence Tyloo is not responsible for any matter related to diagnoses or medical treatment.

 

Should a discussion over medical concerns end with the early termination of a session, the session will be refunded in its full amount. 

 

Finally, we ask you to be sober during the entire time of the consultation. Please do not consume alcohol or any recreational drug before or during our meetings.
